Data Privacy - Information to Customers

Swedish Pelican Self Storage AB, and its subsidiaries (”Pelican Self Storage", ”we” or ”us”) may from time to time keep information about private individuals, and use such information for different purposes. This information is intended for all individuals that are using Pelican Self Storage's services and products, for example customers. Information about private individuals is referred to as “personal data”.

What kind of personal data is kept and used by Pelican Self Storage?
Personal data may be provided to us by the private individual or from other sources, such personal data may broadly be grouped into the following categories;

identification data, such as name, address, bank account details, personal identification number;
contact details, such as email address, telephone number;
service and products data, such as information about services or products purchased or otherwise used by a person; and
communication details, such as customer requests
Segment details, such as why a customer needs a storage unit

Why do we keep and use personal data?
We use certain basic personal data to be able to deliver products or services to private individuals. When we market our products, we may also use personal data for the purposes of distributing marketing information.

What is our justification for keeping and using personal data?
We may use personal data if there is an agreement. For example, if a person purchases a service or a product from Pelican Self Storage, then contact details about that person may be used to process the payment or to deliver the product. In certain cases, we will obtain prior consent to use personal data. At any time, you can withdraw your consent to the collection, use or disclosure, or otherwise processing of your personal information. Occasionally, we may use personal data to comply with a legal obligation imposed on Pelican Self Storage or where there is a legitimate interest for Pelican Self Storage that may duly justify personal data to be used for a specific purpose.

Access to personal data by others than Pelican Self Storage
We may engage other parties to provide IT, logistic, and other administrative support (e.g, parties who provide distribution services or software/IT support). Those parties may have access to personal data to the extent necessary to provide such services.

We may provide certain personal data to a transportation/logistic company for delivery purposes.
From time to time, we may provide personal data between companies within the Pelican Self Storage Group if required to ensure compliance with legal requirements or to respond to requests from authorities.

Personal data may be provided to parties that are located outside the European Economic Area ("EEA"). In such cases, we will ensure that the personal data is subject to measures that provide an equivalent level of protection as provided by data privacy laws in the EU (such as the EU General Data Protection Regulation; GDPR).

How long is personal data retained?
Personal data is stored by Pelican Self Storage or by other parties on our behalf, but only as long as necessary for the performance of our obligations and strictly for the time necessary to achieve the purposes for which the information was obtained. The personal data will be removed from our records or properly anonymized when it is no longer needed. Personal data contained in contracts, communications, and business letters may be subject to statutory retention requirements, which may require a retention of up to 10 years. Any other personal data will in principle be deleted no more than 2 years after the last interaction and business contact with the private individual. Longer retention periods may apply to back up copies of personal data that is done for security reasons. However, access to the personal data will then be highly restricted.

Please note that where CCTV is in operation in our stores you may be captured on CCTV and your image stored. What are the rights of private individuals?
A consent given to us to keep or otherwise use personal data can always be withdrawn. In addition, private individuals will be entitled to the following:

i. Right of access: Private individuals have a right to ask whether or not we have personal data about them and, if that is the case, request information on what personal data we have. We will also have to respond to questions about inter alia why we are using personal data, details about what data we have and to whom we have provided access to the data. However, this is not an absolute right and the interests of other individuals may restrict the access rights.

ii. Right to rectification: We are required to rectify inaccurate personal data, or to complete personal data that is incomplete, on request.

iii. Right to erasure (right to be forgotten): We are in some circumstances required to erase personal data on request by the person concerned.

iv. Right to restriction of processing: We are in some circumstances required to restrict our use of personal data on request by the person concerned. In such cases, we may only use the data for certain limited purposes set out by the law.

v. Right to data portability: Under certain circumstances, private individuals may have the right to receive their personal data to which we have access, in a structured, commonly used and machine-readable format and such persons may then have a right to transmit those data to another entity without hindrance from us.

vi. Right to object: In some cases, private individuals are entitled to object to our use of their personal data. We may then be required to stop using the personal data. One example when this might apply is when personal data is used for marketing and profiling purposes.
